Affiliate Terms and Self-Billing Agreement
Version 2026-10-26
These terms are between you (the "Affiliate") and Cheercrowds Solutions Ltd, trading as Pico Gym, company number 12515317 ("Pico Gym", "we", "us").
If you joined as a healthcare partner, section 7 applies to you instead of sections 2 and 4: you are not paid anything, and there is no self-billing agreement.
1. The programme
- You provide marketing services to us by sharing your personal affiliate code and links to refer new and existing customers to Pico Gym.
- Customers who use your code receive 5% off pay-as-you-go bookings. The code does not apply to bookings paid with subscription hours, or to subscriptions.
- You cannot use your own code. Attempting to, including through another account, breaks these terms.
2. What you earn
- You earn £0.50 for every 30 minutes booked with your code.
- Earnings count only once the booking has taken place (is completed). Cancelled or refunded bookings don't earn anything. If a booking is refunded after you have been paid for it, we deduct that amount from your next invoice.
- We may change the rates with at least 30 days' notice by email. Bookings completed before the change are paid at the old rate.
3. Your obligations
- Promote Pico Gym honestly. Don't send spam, make misleading claims, or pretend to be Pico Gym or its staff.
- Don't bid on "Pico Gym" or similar terms in paid search advertising, and don't create fake accounts or bookings.
- Keep your details and bank account up to date in your affiliate account.
- You are responsible for your own tax on what you earn. In the UK, the first £1,000 of trading income a year is usually covered by the trading allowance, but check your own situation with HMRC or an adviser.
4. Self-billing agreement
For the purposes of HMRC's self-billing rules:
- Cheercrowds Solutions Ltd (the customer) will raise a self-billing invoice for the marketing services you supply each month in which at least one booking made with your code was completed, and will pay it to your nominated bank account.
- You (the supplier) agree to accept the invoices we raise on your behalf, and not to raise your own sales invoices for the services covered by this agreement.
- You will tell us straight away if you become VAT registered, stop being VAT registered, change your VAT number, or transfer your business.
- If you are VAT registered, our invoices will add VAT at the correct rate. Any VAT shown is your liability to HMRC.
- This agreement lasts 12 months from the date you accept it, and we will ask you to renew it after that.
- Either party can end this agreement at any time by notice. We will pay what is due for completed bookings up to that date.
5. Your data
We collect your name, address, VAT status and bank details only to run the programme and pay you. Bank details are stored encrypted and shown only as the last four digits. We keep invoices for six years, as HMRC requires. If you leave the programme, we delete your bank details.
6. Ending or suspending
We may suspend or end your participation if you break these terms. Earnings from bookings that break these terms aren't payable. You can leave at any time by contacting us.
7. Healthcare partners
- Healthcare partners are healthcare professionals, such as physiotherapists, who recommend Pico Gym to their patients or clients.
- Patients who use a healthcare partner's code receive 15% off pay-as-you-go bookings, on the same conditions as section 1. A patient who has never booked with us before also gets the first hour of their first booking free.
- We do not pay healthcare partners anything for referrals: no commission, fees, gifts, free sessions or any other benefit, now or later. You are not supplying services to us, and you have no financial interest in whether a patient joins.
- You should only recommend Pico Gym where you believe it's right for the patient, in line with your own professional standards. You are free to tell patients that you receive nothing from us.
- We store your name, practice and profession only to run this scheme. We don't take your address or bank details.
- We can't tell you who used your code, only how many sessions were booked with it.
